1: Fleet Manager
Accountabilities & Responsibilities
- Maintain absolute customer focus, keeping the customer fully informed on progress and to effectively manage their expectations through accurate tracking reports and constant liaison which is relevant, reliable, reactive and convenient.
- Deal with customer complaints rapidly and professionally in liaison with the Fleet planning and client liaison teams and Operations leads
- Supervise Project controllers in Accurate Journey Management financial control and planning ensuring timely cash flow to drivers and all associated service providers.
- Supervise Project controllers in accurate fuel allocation and accounting in accordance with Company Procedures.
- Supervise and review Project controllers to ensure compliance with trip briefing and debriefings to ensure these are done within 24 hours after a trucks loads or offloads and that driver debriefing results reflect the bell curve per Project controller in accordance with company policy
- Supervise and review Project controllers to ensure driver escalations, Project controller and Driver disciplinary issues, Driver and truck handovers as well as monitoring of driver deductions are closely monitored in conjunctions with Operations leads
- Ensure clear and concise vehicle fault reporting, ensure immediate and thorough accident/incident investigations are carried out and solutions provided to mitigate recurrence in conjunction with the HSSEQ lead
- Diligent Project controller management, ensuring KPIs are accurately assessed and recorded, while ensuring all areas for improvement are fully investigated and rectified in accordance with company procedures
- Trip monitoring and vehicle tracking is to be carried out diligently and consistently, ensuring there are no avoidable delays and drivers are well informed on their progress and adherence to the journey management plan. Ensure adherence of JMP protocol is observed by all Project controllers.
- SAP and TMS online management systems are to be correctly completed, accurately updated and timely
- Ensure all trips are legally compliant, all documentation requirements are met and documentation required for invoicing are processed correctly
- Line Manager for your assigned Project controllers, administration and documentation team: ensuring strong leadership, effective management and appropriate delegation. Compile x2 assessment reports on performance for management review.
- Serving as a general assistant to the Operations Lead seeking continual improvement and promoting best practice amongst the operations team as well as Assist Planners, Client Liaisons and Key Account Managers to seek cargo for the fleet. Ensure you establishing reliable contacts for clearance, government and clients.

2: Fleet Manager (Managed Fleets)
Position Overview:
The Fleet Manager is responsible for overseeing the daily operations of a large fleet of
vehicles, ensuring smooth and efficient transportation services. This role involves managing fleet status, addressing operational issues, ensuring compliance with safety protocols, and maintaining communication with drivers and clients. The Fleet Manager must analyze data to enhance fleet performance, optimize transit times, and uphold high standards for documentation and reporting.
Key Responsibilities:
Fleet Status Management & Operational Oversight:
- Maintain accurate real-time data on truck locations, status, and remarks in fleet management systems (e.g., Smartsheet).
- Handle operational escalations related to cargo delays, breakdowns, or other issues, ensuring timely communication with the Client Liaison and other stakeholders.
- Manage proof of delivery (POD) documentation, ensuring all PODs are uploaded to the repository within 48 hours of ofloading.
Documentation & Trip Management:
- Ensure timely creation and closure of trips for all dispatched vehicles, avoiding cancellations or delays in documentation.
- Verify the availability and functionality of required documents for transporters, particularly after cargo is dispatched from loading sites.
- Ensure import/export requests (ITE) are raised promptly and IT tickets are logged for system-related issues.
Process Adherence & Protocols:
- Enforce adherence to safety and convoy protocols, promptly escalating risks and delays to the management team.
- Ensure all trucks maintain accurate and current information, especially regarding pre-alerts for cross-border cargo, avoiding clearance penalties.
Communication & Coordination:
- Establish and maintain daily communication with drivers to track progress and address issues.
- Collaborate closely with border teams and administrative staff to resolve delays in clearance, document processing, and other operational challenges.
- Send pre-alerts for DRC-bound cargo, ensuring all steps are taken for seamless border crossings and document readiness.
- Analyze data from fleet operations to identify inefficiencies, delays, and areas for improvement.
- Implement strategies to optimize transit times, minimize delays, and improve communication channels.
- Utilize feedback from management and clients to refine processes and elevate performance standards.
Fleet Management Growth & Supervision:
- Oversee and manage an expanding fleet, increasing from 20 trucks under close supervision during onboarding to 100 trucks with minimal supervision by the end of the probation period.
- Ensure timely execution of critical tasks such as trip creation, document uploads, and ITE/pre-alert management as fleet responsibilities increase.
Compliance & Safety:
- Strictly adhere to convoy and safety protocols, ensuring all deviations are reported immediately.
- Ensure compliance with all regulatory requirements, including necessary export and warehouse documentation.
Qualifications:
- Proven experience in fleet management, preferably in the logistics or transportation industry.
Skills:

4: Warehouse Supervisor
ACCOUNTABILITIES & RESPONSIBILITY AREAS
Ensure smooth and efficient operations and information flow, in sync with other departments, such as clearing, ocean freight.
Supervise and manage warehouse staff and operation.
Plan the required staffing levels together with the Seniors: Ensure staff usage/cost is efficient and in line with operational volumes.
Supervise offloading, stacking, packing of the cargo to achieve optimum space utilization and ensure the safety of the warehouse, ensure warehouse plans etc are updated as instructed.
Execute the instructions to achieve the shift/daily production targets, report as agreed.
Supervise compliance to SOP’s, work instructions and other requirements from the Management, report back on challenges and shortcomings.
Ensure compliance of the warehouse, including, but not limited to, OHS, environment, chemical management and Customs requirements.
Ensure warehouse running costs are controlled within the approval limits.
Update operational reports as instructed, supervise the operational staff responsible for reporting for timely and correct reports, including but not limited to company digital platforms.
Track and coordinate the receipt, storage, and timely delivery of supplies
Check orders, bills, items received, inventory, and deliveries for accuracy
Ensure the housekeeping and the warehouse state of repair are on acceptable level.
Perform a daily inspection of the warehouse grounds.
Plan the number of company equipment in use together with the Seniors and ensure the equipment is used efficiently with optimal fuel consumption; ensure equipment is checked as instructed before/during/after shift.
Participate in staff Performance Reviews as may be required.
Identify staff training needs and report to Seniors.
