1.0 OFFICE MANAGEMENT SECRETARY GRADE II – 2 Posts
1.1 DUTIES AND RESPONSIBILITIES
i. To type letters, reports, and documents;
ii. To receive visitors, screen them, and direct them to the relevant officers;
iii. To arrange meetings and ensure that all documents are well prepared and circulated to respective members and invitees;
iv. To keep records and remind the respective officer of appointments, events, and other important matters;
v. To maintain a register of incoming and outgoing files and documents;
vi. To arrange and distribute papers for the Management Committee;
vii. To file all copies of letters originating from respective Divisions/Units;
viii. To type minutes of meetings organized by respective officers;
ix. To respond to general correspondence;
x. To photocopy required documents;
xi. To attend telephone calls; and
xii. To perform any other related official duties as may be assigned by higher authorities.
1.2 QUALIFICATIONS AND EXPERIENCE
Holder of Ordinary Diploma (NTA level 6) in Secretarial studies from recognised institution. Must have passed both shorthand English and Swahili at a speed of 100 words per minute with computer knowledge in programs of: – Ms Word, Ms Excel, Ms Publisher, Ms power point, Internet and E-mail.

4.1 DUTIES AND RESPONSIBILITIES
i. To file accounts documents;
ii. To arrange accounts files in storage;
iii. To dispatch cheques to payees;
iv. To prepare payment vouchers;
v. To serve as a cashier for both receiving and paying funds, issue receipts for funds received, and obtain acknowledgement for funds paid;
vi. To maintain the fixed asset register and ensure it is up to date;
vii. To maintain staff imprest records and retirements; and
vii. To perform any other duties as assigned by the supervisor

Holder of a Certificate in one of the following fields: Accountancy, Finance, Business Administration/Commerce majoring in Accountancy or Finance from a recognized institution; or ATEC I offered by NBAA.

11.1 DUTIES AND RESPONSIBILITIES
i. To answer all incoming calls and handle callers’ inquiries wherever possible;
ii. To redirect calls as appropriate and take adequate messages when required;
iii. To assist and direct customers/visitors to the appropriate staff member;
iv. To receive, direct, and relay telephone messages and fax messages;
v. To ensure the maintenance and repair of the telephone system;
vi. To keep and maintain a visitors’ record book;
vii. To maintain the switchboard; viii. To maintain the register of incoming calls; and
