1: JOB TITLE: Operations Manager

BUSINESS UNIT: Logistics

REPORTS TO: General Manager

1. KEY JOB PURPOSE

The job holder exercises operational control, directs the execution of company policies and procedures operations and ensures that all activities of the department, including operations control, personnel, and trucks comply with company standards

2. KEY DUTIES AND RESPONSIBILITIES

o Ensure truck turnaround to achieve 500km per day including budgeted revenue per month.

o Plan, develop, organize, direct, manage, and evaluate the various routes as per business development activities.

o Direct the activities of staff in relation to transportation operations including dispatching, routing, and tracking Trucks.

o Plan, develop, and implement transportation health and safety, and security programs and activities, QMS and OH&S system.

o Direct and manage regulatory compliance procedures related to transportation activities.

o Manage key performance indicators to measure the effectiveness and efficiency of the transportation operations.

o In conjunction with SHEQ conduct investigations to determine causes of accidents and to improve safety procedures.

o Direct investigations to verify and resolve customer complaints and managing Service Level Agreements.

o Mentor and develop operations staff.

o Recommend capital expenditures for acquisition of new trucks, new equipment or property to increase efficiency and effectiveness of transportation operations.

o Responsible for operation staff performance management.

o Responsible for customer complaints resolution together with Commercial Manager.

o Prepare weekly, monthly, quarterly, yearly Ops reports to management.

o Manages the stock control and checks that inventory records are accurate.

QUALIFICATIONS.

• Bachelor’s Degree in Logistics and Supply Chain Management or Business Management.

• Minimum of five (5) years of working experience in a managerial position in logistics field.

2: JOB TITLE: Head Of Commercial

DEPARTMENT: Commercial

BUSINESS UNIT: Logistics

REPORTS TO: General Manager

1. KEY JOB PURPOSE

To be the focal point of contact between the company and customer and ensuring that the customer is provided with seamless, quality assured, cost effective, consistent, and reliable end-to-end integrated logistics services while protecting company’s interests by ensuring that the company receives her rightful and contractual benefits on time and as per agreement.

Provide leadership and direction in ensuring smooth functioning of overall commercial operations of the company to increase productivity through efficient customer recruitment and maintaining strategies and price negotiation

2. KEY DUTIES AND RESPONSIBILITIES

Customer Relationship Management

o Maintain current customer base by driving efficiencies to ensure contracts remain financially viable and delivered on budget.

o Develop and prospect for new business(es) by researching the market, partaking in tenders, submitting quotations timely and following them up until closure of business deals, visiting and meeting recruited and potential customers, calling the customers, and making introductions and selling our products.

o Using knowledge of the market and competitors, identify and develop the company’s unique selling propositions and differentiators.

o Identify opportunities which will lead to an increase in customer base.

o Ensure customers’ complaints are well registered, managed, addressed, resolved and feedback shared to all stakeholders.

o Champion the prices review process according to prevailing market conditions or contract terms and ensure revised and agreed prices are communicated to all stakeholders timely and that cut off times on uplifted shipments are clearly indicated and understood by all stakeholders.

o Contracts management and know your customer (KYC) procedures compliance.

o Ensuring active contracts are in place for assigned clients/accounts and new accounts.

o Quotations preparations and following up customers’ considerations and confirmations.

o Conduct surveys, visits, and make calls to ensure a robust pipeline of opportunities.

o Analyse the business performance, including profitability, revenue, pricing and CVP.

o Participate in customer services and troubleshooting activities.

Customer Service Delivery

o Forecast sales for the coming weeks/months.

o Ensure compliance with all third parties (BIVAC, Ogefrem, Shipping Lines, TRA, TPA, TBS, GCLA etc.,) is adhered to all shipments requiring the same for smooth and timely loading, delivery, clearance, and offloading.

o Ensure all queries/inquiries from customers are responded to within reasonable time (preferably within 24 hours).

o Ensure all extra charges (standing time, storage, demurrage, customs warehouse rents, removal charges etc.,) are clearly communicated to customers and the accountable party confirms for easy and smooth compensations.

o Ensure exceptional service level to the clients by adhering to process flow (Standard Operating Procedure – SOP) timelines (Turnaround time – TAT) and contract terms.

Cash Collection

o Ensure customers’ statements of accounts are reconciled, up-to-date and shared with the customers as frequently as per agreements.

o Ensure invoicing procedures are well communicated for correct invoicing.

o Ensure all extra charges are fairly confirmed by customers and billed timely.

Reporting

o Ensure all reports of clearance status, deliveries tracking, standing time etc., are up to date, have correct details and status and are shared with customers as per agreed timelines and frequencies.

o Ensure all reports of performance evaluation, business review, truck turnaround time, prices reviews, pipelines etc., are discussed with the customer and submitted to managements of both parties timely.

o Ensure post-mortem reports after shipments deliveries are prepared by identifying achievements and areas of improvements and share the reports with the customer and management.

o Conduct monthly performance self-assessment evaluation, get it reviewed and signed off and implement all generated actions to improve personal performance (if required).

o Review monthly and weekly reports and discuss with management (targets vs actual, shipments deliveries status, market research, post-mortem, cash collections, etc.).

o Any other task given by the management.

Qualification.

• Bachelor’s degree in business Administrations (Marketing) or any related field

• Minimum of eight (8) years of working experience in a managerial/senior position in logistics field

3: JOB TITLE: Human Resources Business Partner

BUSINESS UNIT: GALCO Transport

REPORTS TO: Senior Human Resources Business Partner

1. KEY JOB PURPOSE

The HR Business Partner, reporting into the Senior HR Business Partner, will be accountable for driving the HR agenda in the GALCO TRANSPORT, with specific responsibility for implementing elements of the integrated capability strategy for the GALCO TRANSPORT department.

2. KEY DUTIES AND RESPONSIBILITIES

Talent Management

Implement the talent processes to support the current and future development and deployment needs of the departments in line with strategies and plans support the recruitment process, including ensuring effective on boarding

o Implement talent management solutions that will underpin business priorities

o Train and support managers on the quality and outputs of talent management processes & principles

o Consolidate talent data and input to the departments’ talent processes

Performance Management

o Develop consistent communications to support the effective adoption of the performance management process, explaining the rationale and what is required from managers and employees

o Support individuals and managers in developing team and individual goals that are relevant to their department and aligned to business priorities and customer requirements

o Coach managers to build strong individual and team performance on a regular basis

o Ensure a common understanding and consistent application of the rating scale, and build managers’ capability and confidence in using the scale

o Coach managers to have honest performance conversations during 1-on-1 meetings, mid-year and year end reviews

o Support managers in making appropriate performance rating decisions, and communicating the reasons and outcomes of these decisions effectively.

Organisation Development

o Ensure that all change initiatives focus on behavioural and engagement aspects during pre and post implementation

o Support the communication and stakeholder engagement of the change vision and journey to staff, including challenges, risks and benefits

o Anticipate barriers to change and risks, and work to remove these

o Work with leaders to assess the capability of their team/s and help develop capability building plans (covering recruitment, training, coaching, communication, etc.)

o Support the implementation of anchoring plans, tracking and monitoring its success and adjust as needed.

Learning & Development

o Liaise with Line to ensure optimised development processes are implemented to standard. This involves supporting the Performance Management processes to establish need state and thereafter supporting the competence development process and application of common tools to track competence growth in each unit of the business.

o Provide custody services of all employee training data and manage operational cost and quality.

o Work with managers and staff to ensure they understand the importance of L&D and how it supports them

o Coach Managers in providing feedback and creating development plans with staff.

o Ensure L&D strategy development and execution (including alignment of business needs with available funds/ Evaluation of Training implemented – RoI)

o Ensure training delivery in line with agreed plan

Compensation & Benefits

o Deliver communications that reinforce consistent messages regarding C&B

o Keep abreast of legislative changes that impact C&B and consider how they may affect local practice

o Work with leaders in GALCO TRANSPORT to ascertain C&B requirements for key individuals in their respective teams

Industrial Relations

o Adhere to all IR policies and practices in the GALCO TRANSPORT departments

o Manage and facilitate potential conflict situations to achieve legal and ethical consensus

o Manage the resolution of employee relations issues in GALCO TRANSPORT, with support from the Senior HR Business Partner

o Support and coach managers in understanding and dealing with industrial relations issues.

Employee Engagement

o Review feedback from various business reports [e.g., exit interviews, KPI scorecards] to understand issues associated with engagement in GALCO TRANSPORT departments

o Coach managers to use all opportunities (e.g., 1:1’s, career discussions) to shape strong engagement

o Be the employee’s advocate.

Qualifications

• Degree in Business, HR Management or Social Sciences

• 5 years’ experience in a generalist HR role

• Knowledge of local labour legislation and experience in labour relations would be an advantage
