Job Vacancies at Mafinga Town Council September 2026, The Director of Mafinga Town Council invites qualified and interested Tanzanians to apply for the job vacancies listed below, following receipt of authorization from the Permanent Secretary, President’s Office – Public Service Management and Good Governance, as detailed below:

1.0 RECORDS ASSISTANT GRADE II – 1 POSITION

1.1 DUTIES AND RESPONSIBILITIES

i. Registering incoming letters in the Incoming Mail Register;

ii. Registering outgoing letters (Outgoing Correspondence Register);

iii. Distributing files to action officers;

iv. Receiving files returned to the registry by action officers;

v. Retrieving records/documents or files required by action officers;

vi. Returning files to racks/filing cabinets or other designated storage areas; and

vii. Monitoring the movement of files within and outside the institution (file tracking).

1.1.2 APPLICANT QUALIFICATIONS

Candidates must possess a Form Four (IV) or Form Six (VI) education background and hold a Diploma (NTA Level 6) in Records Management from a government-recognized institution, along with computer skills.

1.1.3 SALARY SCALE TGS C

2.0 OFFICE MANAGEMENT SECRETARY GRADE II – 2 POSITIONS

2.1 DUTIES AND RESPONSIBILITIES.

i. Typing letters, reports, and routine documents;

ii. Assisting in receiving visitors, listening to their concerns, and directing them to the appropriate departments for assistance;

iii. Assisting in maintaining records/logs of events, appointments, visitors, meeting dates, the supervisor’s trips, and schedules for other planned activities;

iv. Managing the office and keeping the supervisor informed in a timely manner;

v. Assisting in retrieving and providing the supervisor with files, documents, or any items required for office operations;

vi. Assisting in conveying the supervisor’s instructions to subordinates and informing the supervisor of any information received from those subordinates;

vii. Assisting in receiving files, distributing them to officers within the unit, collecting and filing them, and returning them to the relevant sections; and

viii. Performing any other duties assigned by the supervisor.

2.2.1 QUALIFICATIONS FOR EMPLOYMENT

Applicants must possess a Form Four (IV) or Form Six (VI) education certificate, along with a Diploma in Secretarial Studies or an NTA Level 6 Certificate in Secretarial Studies from any government-recognized institution.

Additionally, they must have passed Swahili and English shorthand tests at a speed of 100 words per minute and have received training in office computer applications such as Word, Excel, PowerPoint, Internet, Email, and Publisher.

2.2.2 SALARY SCALE TGS C

GENERAL CONDITIONS FOR APPLICANTS

i. All applicants must be Tanzanian citizens aged between 18 and 45 years;

iv. Applicants who are already Public Servants and have acquired qualifications for entry into a cadre different from their current one must route their job applications through their employers, and the employers must satisfy themselves accordingly.

v. Applicants must attach a comprehensive Curriculum Vitae (CV) containing a valid postal address and reliable telephone numbers, along with the names of three reliable referees;

vi. All applications must be accompanied by academic and professional certificates certified by a lawyer/advocate; these include Form Four or Form Six certificates (for those who attained that level) and certificates of completion for various training courses relevant to the specific job qualifications (e.g.,

Postgraduate/Degree/Advanced Diploma/Diploma/Certificates, Form IV and VI examination certificates, Computer Certificate, and Professional Certificates from respective boards);

vii. “Testimonials,” “Provisional Results,” “Statements of Results,” and Form IV and Form VI results slips
WILL NOT BE ACCEPTED.

viii. Applicants who studied abroad must ensure their certificates have been verified and authenticated by the relevant authorities (TCU, NECTA, and NACTE).

Applicants who have retired from the Public Service are not permitted to apply unless they
hold authorization from the Chief Secretary.

Job applicants who are already employed in entry-level positions within the Public Service should not apply and are required to adhere to the instructions contained in Circular No. CAC..45/257/01/D/140 dated 30 November 2010.

ix. Legal action will be taken against individuals who submit forged information or credentials.
