1: HR Assistant Volunteer
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
- Provide assistance on general HR queries and follow up actions, to ensure consistent and high quality HR services are delivered to clients.
- Provide guidance and on-the-job training to other staff, to support their development and increased knowledge of HR systems and procedures required to perform their duties.
- Liaise with other internal units/offices on HR related matters, i.e. payroll, contracts, etc. and provide necessary information in order to enable timely HR services.
- Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements, performance and training requirements, to support analysis and reporting needs.
- Provide administrative support in various HR activities in the areas of work allocated by the professional officer including on boarding of new staff members in compliance with relevant processes and procedures.
- Maintain confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.
- Draft various HR documentation required for the specific area of work (e.g. employment contracts, transfer letters, training-related documents, etc.) ensuring accuracy and meeting established deadlines.
- Use HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines (e.g. contract expiration, PACE, etc.), ensuring compliance with the established deadlines and accuracy of HR data.
- Support staff deployment and related administrative actions including preparation of basic reports, to facilitate efficient HR service enabling WFP to respond quickly to a crisis.

2: IT Assistant Volunteer
PURPOSE
To support the delivery of efficient and effective IT and Telecommunications (TC) services, and development of IT Solutions that enable staff to deliver food assistance to beneficiaries, in line with WFP’s strategy.
KEY ACCOUNTABILITIES:
Under the overall guidance and technical supervision of the Head of the TEC division, the IT Assistant will be responsible for the following:
- Record, classify, and track all TEC support requests and incidents.
- Update ticket details with troubleshooting steps and escalate unresolved issues.
- Follow up to ensure timely closure.
- Provide first-line TEC support to staff.
- Troubleshoot issues with PCs, printers, Wi-Fi, and Office 365.
- Support conference room TEC setups, including Teams conferencing.
- Assist in onboarding/offboarding staff.
- Assist with installation and configuration of TEC equipment.
- Support network issues including LAN, Wi-Fi and VPN.
- Provide remote TEC support to Kigoma, Arusha and Mtwara.
- Assist with preparing TEC equipment for dispatch to the sub-offices.
- Perform any other duties as assigned.
QUALIFICATIONS & EXPERIENCE REQUIRED:

PURPOSE
To deliver a number of routine Management Services tasks, to ensure that staff are effectively supported.
Job Description
- Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.
- Serve as the focal point for all courier and shipment services, including receiving, documenting, and dispatching official packages and mail; coordinating with courier companies and internal units to ensure timely delivery of goods; tracking outgoing and incoming consignments; maintaining up‑to‑date logs; and proactively communicating delays or issues to relevant stakeholders to ensure smooth flow of materials and information.
- Drafting, formatting, and proofreading various documents, preparing and sending routine correspondence, and maintaining records and archives for proper storage and accessibility.
- Respond to simple routine queries on a range of services on facilities and escalating where appropriate in order to provide a timely and accurate response to enquiries.
- Provide comprehensive meeting and event support by assisting with scheduling meetings, preparing meeting rooms, arranging necessary materials, taking meeting minutes and distributing them to relevant stakeholders, and coordinating tea/coffee for office meetings booked in the conference room.

4: Finance Volunteer
ob Title: WFP Volunteer – Finance (Manual & Online VAT Refund Claims Processing)

Duration: Up to 6 Months
Purpose of the Assignment
To support the Finance Unit in the efficient processing, tracking, and reconciliation of Value Added Tax (VAT) refund claims in compliance with Government of Tanzania procedures and organizational policies. The role contributes to timely recovery of VAT refunds through coordination with the Ministry of Foreign Affairs (MoFA) and the Tanzania Revenue Authority (TRA), strengthening financial accountability and operational efficiency.
Key Accountabilities/Responsibilities
Under the direct supervision of Finance Associate and over overall guidance of Finance Officer, the WFP Volunteer will:
- Support the monitoring and recording of VAT claims, ensuring completeness, accuracy, and timely reconciliation.
- Retrieve and compile monthly tax invoices and supporting documents in line with submission requirements.
- Prepare and complete VAT claim forms and supporting documentation in triplicate for submission to the Ministry of Foreign Affairs (MoFA).
- Maintain an organized VAT claims tracking system/database to monitor status, timelines, and outstanding claims.
- Conduct regular follow-ups with MoFA to obtain VAT clearance documentation.
- Facilitate submission of cleared claims to the Tanzania Revenue Authority (TRA) and track progress of refunds.
- Assist in ensuring compliance with WFP financial procedures, and donor requirements related to VAT recovery.
- Support reconciliation of VAT receivables and provide updates for financial reporting.
- Identify delays, discrepancies, or bottlenecks in the VAT process and escalate as appropriate.
- Provide input and recommendations for the continuous improvement and updating of the VAT Standard Operating Procedures incorporating lessons learned and evolving regulatory requirements to strengthen efficiency and compliance.
- Provide general administrative and finance support as required by the unit.
Required Qualifications And Experience

- Basic knowledge of taxation systems, preferably VAT processes in Tanzania.
