Job Vacancies at UNFPA August 2026, The Personal Assistant (PA) to the Representative and Administrative Associate provides support: delivering senior-level executive administrative, communication, and coordination assistance to the Country Representative, while simultaneously executing sensitive Human Resources services to ensure compliant talent management and efficient operations within the UNFPA Tanzania Country Office.

Under the supervision of the Representative and indirect reporting to the Operations Manager, the incumbent acts as a critical HR operational pivot point, maintaining full confidentiality, upholding protocol, and managing discreet HR workflows, following HR policies and guidelines.

1: National Post: Personal Assistant to the Representative & Administrative Associate, Dar es Salaam, GS6

Job Purpose:

The PA and Admin Associate G6 will serve as the primary interface for the Country Representative and the focal point for Human Resources within the Country Office. He/she will be responsible for maintaining full confidentiality, upholding protocol, and managing the lifecycle of staff employment. His/her role bridges executive coordination with operational HR, facilitating knowledge building, recruitment processes, and the implementation of UNFPA’s people strategy in Tanzania CO.

Responsibilities:

The PA to the Rep and Admin Associate G6 will be responsible for:

  • Communication & Coordination: Ensuring optimal, secure communication between the Representative, CO staff, and external counterparts; managing all internal and external queries, screening calls, and responding to sensitive information requests with a high degree of tact, discretion, and confidentiality. Drafts correspondence, reports, and types documents as required.
  • Calendar & Strategic Scheduling: Proactively managing the Representative’s  official calendar, managing meeting requests from key stakeholders, national partners, and senior dignitaries, and ensuring meticulous tracking of follow-up actions and weekly matrices.
  • Protocol & Liaison: Effectively coordinating diplomatic protocol matters in liaison with the Operations Unit; preparing and following up on official correspondence with the Ministry of Foreign Affairs, government ministries, and diplomatic missions, and receiving high-level delegation missions professionally.
  • Travel Coordination: Managing comprehensive travel arrangements for the Representative (including visas, Travel Authorizations, hotel bookings, airport transfers, and DSA), ensuring timely submission of Travel Claim Forms and Travel Reports.
  • Briefing & Mission Material: Preparing factual briefing materials, presentation inputs, and detailed itineraries for the Representative’s official missions, high-level donor meetings, and inter-agency conferences (including the Resident Coordinator’s Office).
  • Recruitment: Coordinating the localized recruitment processes for the CO by reviewing local job descriptions, posting vacancies, screening candidate applications, arranging interview panels, and managing logistics for recruitment exercises, finalizing recruitment reports and CRB actions.
  • Contract & Onboarding Management: Administering local staff contracts (Fixed Term, Service Contracts, and Consultants etc.), monitoring expiration dates, coordinating timely extensions or renewals, and managing the end-to-end onboarding and offboarding processes.
  • Sensitive Data Integrity: Maintaining absolute confidentiality of personnel records and executive files; ensuring all staff data, performance tracking (CPM cycle compliance), leave/absences and mandatory training logs are meticulously managed and updated in the corporate ERP systems.
  • Benefits & Policy Orientation: Providing guidance to CO staff on basic HR rules, regulations, benefits, and entitlements; in liaison with the regional and global payroll/benefits teams.

Qualifications and Experience: 

Education:

  • Completed Secondary Level Education required.
  • A first-level university degree in Human Resources, Business Administration, Public Administration, Communications, or a related field is highly desirable and will be an added advantage.

Knowledge and Experience:

  • Minimum of 6 years of progressively responsible professional experience in executive administration, secretarial work, or human resources management.
  • Proven experience handling executive-level schedules, high-level diplomatic protocol, and liaison with government entities.
  • Strong understanding of HR lifecycle management, recruitment procedures, contract monitoring, and personnel files administration.
  • High degree of emotional intelligence and an impeccable, proven record of handling highly confidential and sensitive information.
  • Advanced proficiency in office applications and experience utilizing complex corporate ERP/HR management information systems (e.g., Quantum).

Languages:

Fluency in English and Kiswahili is required. Knowledge of another official UN language is an asset.

2: National Post: Operations Assistant, Dar es Salaam, GS5

Job Purpose:

The position will provide effective and full secretarial and administrative support to the Operations unit, ensuring high quality, accuracy, and consistency of work. You will oversee the Country Office’s asset management, ensure the provision of basic ICT support services, and deliver comprehensive administrative assistance to maintain seamless business processes and procedures.

You would be responsible for: 

A) Effective administrative & secretarial support

  • Screen and logs incoming correspondence,   and distributes to the relevant units
  • Draft responses to Operations related correspondences when appropriate.
  • Maintain a proper and user friendly filing & document control system for recording and tracking of all Operations’ documents in accordance with established classification systems (hard and electronic copy)
  • Oversee cleaning services, repairs and maintenance of office equipment.
  • Undertake any ad-hoc administrative/duties as required.

B) Travel and logistics support

  • Ensure all travel related arrangements; processing of relevant payments, booking of tickets and hotels, facilitating visas, arranging transportation, settling Travel claims /reimbursable claims, preparing semi-annual and annual travel reports, and other related tasks.
  • Develop tools and mechanisms for effective and efficient monitoring of travel plans and budgets, coordinate the compilation of administrative and financial data in relation to travel, and provide accurate and up-dated information to the Operations Manager on a continuous basis.
  • Ensure logistics and management of the schedule for incoming missions and international meetings, including the processing of VIP arrangements for high-level officials, and managing protocol requirements.
  • Liaise with the Common Back Office to organize and provide logistical support to meetings, conferences and workshops for the office; Oversee management of office vehicles and fuel management

C) Other business operations support

  • Comply and help others to comply with financial policies and procedures;
  • Maintain adequate financial records and keep all documentation organized in their proper files.
  • Review and prepare material for common system activities relating to common services and premises, cost recovery, security, etc. and represent UNFPA in related inter-agency meetings and working groups.
  • Support the country office during internal and external audit exercises.
  • Contribute in drafting of contracts, including preparation of required information for Purchase Orders compliance.
  • Ensure efficient management of the office supplies.
  • Act as the CO  asset management focal point and inventories.
  • Act as the CO Greenhouse Gas (GHG) focal point
  • Participate in the assessment of technical capability and financial health in order to qualify companies as potential contractors for UNFPA.
  • Participate in the preparation of documents to be submitted to the Contract Review Committee.
  • Participate in the assessment of post contract activities.
  • Participate in the interagency Admin and ICT working group and in the Business Operating Strategies (BOS) process and implementation.
  • Perform any other duties as may be assigned by the management of the Country Office.

D) ICT support

  • Support networks administration, including the establishment of offsite backup, back up logs and restoration procedures; trouble-shooting network problems and responding to user needs regarding network access.
  • Provide administrative support by ensuring the establishment and maintenance of CO databases and providing orientation to staff

Qualifications and Experience 

Education:  

  • Completed Secondary Level Education required.
  • First level university degree in Business Administration, Information Technology, Computer Science or related areas desirable.

Knowledge and Experience: 

  • Five (5) years of experience in administration, finance programme support, ICT or general office management support;
  • Knowledge of accounting, budget management, finance, ICT, data bases, analysis and/or reporting;
  • Good writing, communication and interpersonal skills;
  • Ability to organize and meet deadlines;
  • An excellent knowledge of word processing, typing, filing, and operation of common office equipment;
  • Good client service skills
  • An ability to handle confidential matters, set priorities, and work well under pressure with attention to detail;
  • Previous experience with a multilateral or international organization, notably with desirable;
  • Previous experience in ICT user support,  ERP Systems, and software (Quantum, PowerBI)
  • Proficiency in Excel, Power Point and MS Word

Languages: 

  • Excellent oral and written communication in English.
  • Knowledge of Swahili and/ other official UN language is an asset.
